President and VP Report (Diana & Rachel)-
Diana would like all PTO Board members to reach out to new parents (We need new Ass’t Treasurer and Fundraising Co-Chair).
Please continue updating the PTO Google Drive.
Update Calendar section with dates for end of year events.
Update PTO Positions Contact Information.
Welcome Samantha Eagle – she will help with Meigs Mart this year and take it over next year. ☺
Bike rack project (Robert Johnson) – Robert helped get bike rack at Lockeland. Formerly worked at Walk/Bike Nashville and now works for TDOT. Advocating for walking/biking in Nashville. Would like to install a bike rack at Meigs. Larger and more bike racks outside the front door of Meigs. $2700 was approved for the bike racks. Walk/Bike Nashville can give us a discount. Wine Red color – Meigs color. Ordered and working on installation plan – weather dependent. It will be next to the doors on Ramsey – there’s an old Rain Garden there, Jamie Schimenti can help with updating rain garden.
Invest Fundraising Report (Rob)-
Progress Report—we are at 75% of our goal. See attachment for details of numbers by grade level. Constant press of info is helping. Every week a blast goes out – continue that on a weekly basis until the goal is reached. $1700 from people who are not parents of children in school: Grandparents, friends, community members. If goal is not met, then the budget for next year would be adjusted. Feeling confident that we will reach the goal. Looking forward to learning from this year of navigating a new way of fundraising (all digital). We need more payment options. Right now we only have PayPal – this is feedback from parents. Diana says we could use our Square to accept credit card payments. Frances says that you could do Square, but it will take some back end editing to process it. Ask David about that process. Pool our expertise with Evrits, etc. Spreadsheet was developed and can be used moving forward. Using grade level parent liaisons could help get the information out.
Principal and VP(S) Reports (Dr. Underwood)- Dr. Underwood is excited about all the work that PTO is doing. Excited for bike racks, outdoor classroom. Rough start, great end of first semester. Great start to the new semester. Adjusting to covid restrictions while trying to do as many Meigs-typical things as we can.
YTD Budget Report/Treasurer’s Report (Rhonda)- $57k net receipts $37k made (Invest) cash $25,500. Spent $34k. -$800 is our current net budget. Upcoming budge items: Frogs for dissection – Signs for teams – Bike Rack. Thanks to Frances for being a great assistant treasurer and we will get everything else paid quickly. (See full treasurer’s report attached).
Secretary’s Report (Caity)-
Please send Caity any visuals/reports, etc to be included in the minutes.
Thank you cards – Send hand written notes to big community supporters for Invest (work with Rob on getting that list).
Communications Report (LaTara and Amy)-
Keep sending updates for the Meigs Memos
Meigs Mart (Brandy)-
1. New inventory has arrived and volunteers are checking it in and we plan to have it online by the end of January.
2. We plan to let the teachers preview and purchase new arrivals before making the site live to all the parents/students
3. Existing inventory, with the old logo and colors with a quantity of 1 will be discounted 50% until they are sold. (Amy, add a Meigs Mart direct link to Meigs memos next week.)
4. Blue Ribbon shirts were distributed in December – Teachers loved them! Big hit to have chance to choose between sweatshirt or long sleeve tshirt.
5. Samantha Eagle has volunteered to Chair Meigs Mart next year so Brandy will start moving files, contacts, processes, etc. to the Google Drive to get her onboarded and ready to go for Meigs 101 in July. Brandy will still be here to help (as she is able) but Samantha will take the lead.
